How live ride-along assessments are recorded, who can see the recordings, and how long they are kept.

1. What is recorded

Live in-van assessments (ride-alongs) take place over a video call between the driver, an assessor (an Academy assessor or a company manager) and the on-site manager in the passenger seat. The call's video and audio are recorded, and still snapshots may be taken. The assessor's checklist and notes are saved with the assessment.

2. Why

Recording lets the assessor score the assessment accurately, lets a person double-check the result, and creates a dated record that the driver was trained and assessed.

3. Who can see it

The driver's employer and its authorized managers, the assessor who ran the assessment, and authorized Academy staff. Recordings are not public and are never used for advertising.

Short clips of the recording are sent to Google's Gemini AI service, which suggests checklist scores. The AI never makes the final decision: a person reviews and confirms every result.

4. How long it is kept

Raw video clips are kept only as long as needed to review and score the assessment. Clips sent to the AI service are deleted automatically by the provider, usually within 2 days. The scores, checklist, notes, snapshots and timestamps stay in the driver's training record for the retention period in the Customer Agreement.

5. Your consent

Before an assessment starts, everyone on the call is told it is being recorded. By joining the call, you agree to be recorded for these purposes. If you do not want to be recorded, tell your manager before the assessment starts; your company can decide on another way to assess you.

Passengers or members of the public should not be filmed on purpose. Point the camera at the driver and the road, not at customers' homes or faces.

6. Safety during the call

The phone or camera must be mounted and hands-free. The driver must never hold or touch the phone while the vehicle is moving. The assessor or on-site manager may stop the assessment at any time for safety.

7. Questions or requests

To ask about or request deletion of a recording, contact your employer or email contact@consult-liveoperations.com.
