Privacy Policy

Last updated November 4, 2026

This policy explains what information the Academy collects, why, and who can see it.

1. Who is responsible

Live Operations Consulting Inc. runs the Academy. For driver training records, the driver's employer (our customer) decides what training is assigned and how the records are used, and we process the records on the employer's behalf.

2. What we collect

Company and manager details: company name, manager names, email addresses, optional phone numbers and billing status.

Driver details: name, email address, and anything the employer adds, such as an employee ID, station or hire date.

Training activity: lessons started and completed, quiz and test answers and scores, huddle acknowledgments, accident reports submitted through the portal, certificates and timestamps.

Live assessments: video and audio of the assessment call, snapshots, the assessor's checklist and notes, and any AI-suggested scores (see the Recording Consent page).

Insurance claims and incidents: claim type (auto or workers' compensation), incident details, photos and documents uploaded, injury details needed for a workers' compensation claim, insurer and copy email addresses, and the premium, paid, reserve and loss run figures the company enters.

Payment details are entered directly with Stripe. We never see or store full card numbers.

Basic technical data such as IP address, browser type and sign-in times, which we use for security.

3. How we use it

To deliver and track training, issue and verify certificates, run live assessments, send account and training emails, process payments, provide support, keep the service secure, and meet legal obligations. We do not sell personal information, and we do not use driver data for advertising.

4. Who we share it with

The driver's employer and its authorized managers can see that driver's training records. Our assessors see the assessments they run.

Service providers that host or support the Academy: Vercel (hosting), our cloud database provider, Stripe (payments), Google Workspace (email), Google Gemini (AI review of assessment recordings) and Cloudflare (connecting video calls). They may use the data only to provide their service to us.

Insurers: when a manager chooses to report a claim, the Academy emails the claim details to the insurer address the company has set, with the company's chosen emails in copy. Loss run requests are sent the same way. Incidents marked to keep internal are not sent to the insurer.

Certificate verification: anyone with a certificate's verification code or QR link can see the driver's name, the course, the result and the date, so employers can confirm it is genuine. If a driver uses the Driver Passport feature, the information they choose to show is visible to companies they share it with.

We may also disclose information when the law requires it or to protect someone's safety.

5. How long we keep it

Training records and certificates are kept while the company's account is active and for the retention period in the Customer Agreement, so they remain available as proof of training. Raw assessment video is kept only as long as needed to score the assessment, as described on the Recording Consent page. Scores, checklists and notes stay in the training record.

When a company asks us to delete its data after its account ends, we delete it or make it anonymous, except where the law requires us to keep it.

6. Security

We use encrypted connections, access controls by role, and reputable hosting providers. No system is perfectly secure, so we also limit what we collect.

7. Your choices

Drivers can ask their employer, or us, to see or correct their records. Employers can export or request deletion of their records. Email contact@consult-liveoperations.com and we will respond within a reasonable time.

8. Children

The Academy is for working adults and is not directed to anyone under 18.

9. Changes

If we change this policy, we will post the new date here and notify company managers of material changes.
